Freelancers and small studios rarely struggle with the work itself. They struggle with everything wrapped around it: remembering which project is slipping, keeping client details in one place, drafting the quote, and actually sending the invoice before the month closes. That admin layer is where billable hours quietly disappear. It is exactly why we built Zolodek, a calm project and client workspace for freelancers and small studios, with an optional AI assistant that handles the busywork so you can stay on the craft.
This piece walks through how Zolodek carries a single job from the first enquiry to a paid invoice, and where its AI assistant, Zolo, fits in.
The problem is not the work, it is the wrapper around it
Most freelance tooling is a pile of parts that each work fine alone. Client numbers live in a phone's contacts. Quotes sit in a shared doc. Deadlines live in someone's head. Invoices get remembered two days late. None of these talk to each other, so the same job gets re-entered four times, and the status of your own business is never visible in one place.
The moment your projects, clients and money live in separate tools, you become the integration layer. That unpaid job is the real cost of not having a workspace.
The fix is not another app to check. It is a single, quiet place where a job moves from enquiry to payment with the trail intact.
What Zolodek actually is
Zolodek is one workspace with everything a small operation needs and nothing it does not. The feature set covers a dashboard of what is in flight, projects and sub-projects, a Gantt-style timeline, tasks and milestones, quotes and invoices, a clients and contacts book, multi-currency support, a team view with real roles, and an encrypted vault for the documents you would rather not leave in email.
Read together, the client book plus quotes and invoices make Zolodek a lightweight CRM: it holds the relationship, not just the task list. And because roles are enforced in the database itself, not merely hidden in the interface, an owner, admin, member or viewer each sees exactly what they should when a second person joins.
Zolo, the AI assistant, is a choice
AI in Zolodek is opt-in. A single switch in settings turns Zolo on or off, and the product is fully usable with it dark. When it is on, Zolo is aware of your workspace, so it answers about your actual projects rather than in the abstract. A few things it does day to day:
- Ask it "what should I focus on today?" and it ranks what is due and what is slipping, then offers to act, for example marking an invoice as sent and nudging you tomorrow if the payment has not landed.
- Ask it to summarise your active projects and it sorts them into on track, at risk and stalled, so a quiet problem does not stay hidden for three weeks.
- Tell it to spin up a project from a sentence and it creates and pins it, ready to break into tasks and milestones.
Zolo also has hands, not just a mouth. Snap a business card and it reads the details into a new client. Snap a receipt and it files the expense. Both run through the same optical scan, so the fiddly data entry that usually never happens actually happens.
From first brief to paid invoice
Here is how one job moves through Zolodek end to end.
| Step | What happens |
|---|---|
| New enquiry | Scan a business card with your phone. Zolodek reads the details and creates the client, so the contact is captured before it is lost. |
| Scoping | Spin up a project (Zolo can do it from a sentence), then break it into tasks and milestones on the timeline. |
| Quote | Draft a quote in the client's own currency. It lives with the project, not in a separate document. |
| Delivery | The dashboard shows what is on track, at risk or stalled, so nothing slips silently while you are heads-down. |
| Invoice | Turn the quote into an invoice. Zolo nudges you if the payment has not arrived, so chasing is one tap, not a calendar reminder you ignore. |
Because every step shares one source of truth, the end of the month stops being a scramble to reconstruct what you did and who owes you.
Small surface, honest defaults
Zolodek is deliberately quiet. The interface is monochrome, and the only colour on screen belongs to your projects, so their bars stay readable on the timeline. That restraint is a design rule, not an accident: if a screen does not help someone bill an invoice, close a task, or plan a week, it does not ship. The product started as a private tool for our own freelance work, and it still behaves like one that happens to be open to everyone.
Where to start
Pricing is built for one person that might become a few. Personal is free forever: one operator, one workspace, unlimited projects, and 25 AI actions a month across Zolo and the receipt and card scans. Pro is a flat 1.99 dollars per workspace per month for up to five people, priced per workspace rather than per seat, with role-scoped access and 500 AI actions a month for the whole team. The full breakdown is on the pricing page.
The fastest way to judge it is to run a live job through it. You can start free and only turn Zolo on once you want a hand, or read a little more about why we built it first.
